This Privacy Policy explains how CompanyPing ("we", "us") collects, uses and protects your personal information when you use our website and services. We are the data controller for the personal information we process.
Information we collect
Information you provide: When you register we collect your name, email address and timezone. If you contact us, we keep a record of your enquiry.
Information from third parties: When you add a company, we retrieve publicly available information from Companies House, including company name, number, registered office address and filing dates.
Usage data: We collect technical information about how you use the service, such as device type, browser, pages visited and approximate location, through cookies and similar technologies (see our Cookie Policy).
Lawful basis for processing
We process your personal information under the following lawful bases under UK GDPR:
- Performance of a contract — to provide the monitoring and reminder service you signed up for.
- Legal obligation — where we are required to keep records (for example for billing and tax purposes).
- Legitimate interests — to improve the service, keep it secure and prevent fraud.
- Consent — for optional analytics or marketing communications, which you can withdraw at any time.
How we use your information
We use your information to:
- identify the companies you track and calculate their deadlines;
- send you reminders and in-app notifications about upcoming deadlines;
- process subscription payments;
- maintain and improve the service; and
- respond to your enquiries.
We do not sell your personal data to third parties.
Sharing your information
We share your information with trusted service providers who act as our processors, including:
- Companies House — to retrieve public company information;
- Email providers — to deliver reminder emails;
- Payment processors — to handle subscription payments; and
- Hosting and analytics providers — to operate and improve the service.
We only share information where necessary, under appropriate contracts that require processors to protect your data to UK GDPR standards.
International transfers
Some of our processors may be located outside the UK. Where this happens, we ensure your data is protected using recognised safeguards such as UK adequacy regulations or standard contractual clauses, and we keep these arrangements under review.
Data retention
We keep your personal information for as long as your account is active, and for a limited period afterwards (up to 6 years for billing and tax records, or as required by law). Deadline and company data linked to your account is deleted when you delete your account.
Security
We take reasonable technical and organisational measures to protect your data, including encryption in transit, access controls and regular reviews. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Your rights
Under UK GDPR you have the following rights:
- Access — to a copy of your personal information;
- Rectification — to correct inaccurate or incomplete information;
- Erasure — to ask us to delete your personal information;
- Restriction — to ask us to limit how we use your information;
- Data portability — to receive your information in a reusable format;
- Objection — to object to processing based on legitimate interests; and
- Withdraw consent — at any time where we rely on consent.

Children's privacy
CompanyPing is not intended for use by anyone under 18. We do not knowingly collect personal information from children. If you believe we have done so, please contact us so we can delete it.
Changes to this policy
We may update this Privacy Policy from time to time. We will notify you of significant changes and update the date at the top of this page.
Your right to complain
If you are not happy with how we handle your personal information, you have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113.
